Our team works closely with medical professionals and healthcare organisations to ensure placements run smoothly and safely. As we continue to grow, we are expanding our support team and building a new offshore function to support our operations.

The Role

We are looking for an organised and detail-focused Recruitment Support Administrator to join our remote support team. In this role, you will work closely with our Compliance and Candidate Care Managers to support doctors throughout the medical recruitment and placement process.

As part of a busy recruitment environment, the role requires the ability to balance multiple priorities and deadlines while maintaining a high level of accuracy across administrative processes, documentation, and candidate records.

Working closely with internal teams, you will support the smooth progression of placements by ensuring key information, documentation, and system records remain accurate and up to date.

As part of a developing offshore support function, the role will continue to evolve as systems, technology, and processes improve.

Key Responsibilities

  • Coordinate the collection and organisation of compliance and credentialing documents for doctors prior to placement start dates, ensuring documentation is complete and accurate

  • Assist with travel bookings and itineraries for doctors travelling to placements

  • Maintain accurate candidate and placement records within the CRM system

  • Liaise with candidates, recruitment consultants, and service providers to coordinate placement requirements in a timely manner

  • Participate in team briefings to review upcoming placements and priorities

  • Maintain accurate records of activities and updates within internal systems

  • Assist with expense processing related to travel and placement arrangements

  • Support administrative processes to ensure placements meet required compliance standards

  • Maintain awareness of Charterhouse Medical’s legislative and contractual obligations and raise potential compliance risks early

Skills & Experience

  • Clear, concise written and verbal English communication skills

  • Previous experience in an administrative or coordination role involving customer service or stakeholder support (recruitment industry experience advantageous)

  • Strong attention to detail, with the ability to work within structured processes while applying critical thinking when required

  • Reliable, organised, and able to handle confidential information responsibly

  • Ability to manage multiple tasks and deadlines in a fast-paced environment

  • Moderate to advanced proficiency in Microsoft Office

  • Comfortable learning new systems and working with technology (CRM experience helpful but not required)

  • Adaptable and able to adjust as systems, technology, and workflows evolve

  • A proactive mindset with the ability to identify when issues require escalation

Working hours: This role supports an Australian team based in Sydney and requires availability during Australian business hours (AEST).
